Step 4: Spot Recurring Issues Across Tickets

This step is where the work turns strategic. Instead of treating tickets one at a time, ask HotBot to look across a batch and tell you what keeps breaking.

Look at these recent Freshdesk tickets. Group them by root cause,
rank the top 5 recurring issues by frequency, and flag any that
suggest a bug or a gap in our documentation.

Limits and Privacy Note

A few guardrails to keep in mind:

  • HotBot drafts; you approve. Never auto-send AI replies untouched. The 90% that keeps AI from creating new tickets is human review.
  • Feed it what it needs, not more. Share the ticket data relevant to the task. Don’t dump your whole helpdesk if you don’t have to.
  • Summaries can miss nuance. Freshdesk notes that summaries can’t be generated from child tickets and reflect the source content. Treat AI summaries the same way, and verify before you act on them.

Common Issues

The reply doesn’t sound like us. Give it more voice examples. Two or three real past replies beat any amount of adjective-stacking in your prompt.

The summary is too long or too vague. Add a word limit and name the exact sections you want (Issue / Tried / Blocker / Next step). Specificity fixes almost everything.

The connector isn’t showing my data. Make sure you’re signed in as a member. The connector only works on a paid membership, not the free tier. Start at the login page.
